We have bibliographic records with items that are temporarily not available to fill holds. To do this, we change the item type (eg. reference) OR item status (eg. damaged). In both scenarios, the item is not checked out to anyone.
example: status is “available” and then changed to “unavailable” for a short time. In this example “unavailable” items won’t fill a hold.
When we decide to move the item type BACK to “available” using CIRCA OR Create Lists OR batch checkin via Sierra Admin the item is not appearing on the TPL. The only way to force the item back to filling a hold is to manually check the item back in.
This same behaviour can be seen when we change an item type from a requestable item type to a non requestable item type.
This is a problem for us we have a number of scenarios where we temporarily want to change the item type OR item status to be “not requestable”. Do others find that you have to check in those items manually to get those items to fill holds (or show on the TPL)??
You haven’t mentioned the use of Rapid Update or Global Update, @ewright. I would use one of those utilities to restore the original Item Type or Item Status – have you not been granted permission to perform updates, or are those functions not visible in your Sierra workflows?
What is a TPL? Maybe it’s a Circa term because we don’t have Circa and I have never been exposed to the product.
The TPL is the Sierra Title Paging List. We have also tried Rapid Update and Global Update.
Fortunately I run a SQL query each week that identifies “Available” items attached to bibs with active holds. I then change those “available” items to “trace” so that branch staff have to look for the item and check the item in manually.
Regarding your weekly SQL query @ewright, I have a similar job set up which runs just before 8:00 each morning Mon-Fri but just for the items here in Tech Services. A combination of Python, SQL and a shell script generates a CSV file and emails that to a couple of people in Tech Services. The report is a guide used to expedite the processing of items which could fill holds.
