Fine Notices in Polaris

Hi all,

Can anyone tell me how Fine Notices work through Polaris? See screenshot below. If we set the minimum balance at $50 for example and the fine age at 1 Day will everyone who owes $50+ for at least 1 day get a notice? And they’ll only get the notice once? And then the next day if any more patrons owe $50+ only they would get a notice? I want to make sure I’m not sending out notices to the same patrons for the same charges over and over again.

Thanks.

Yes, unless they’ve already been submitted to collections.

Unless they drop below $50 and then rise above it again.

Yes.

Most of our libraries wait around 7 days before sending a fine notice to reduce any unnecessary notices, especially if you’re going to print them.

My manager has asked me another question regarding this before we roll it out. If we set the minimum balance at say $100 and send the notices and then change the minimum amount to $50 would all the people that owe between $50 and $100 get 2 notices? In other words should we start small and then move up? Hopefully I’m making sense because I’m confusing myself. We much preferred Sierra for this where we could send notices based on a Create List Review File. Thanks.

I doubt they would because I think they’d already been in a table that would say they got a fine notice, but changing the values MIGHT cause that table to be cleared. I would double-check with Support on this one to make sure.

Although it isn’t as straightforward, you could create a custom SSRS “report” that was basically just a Fine Notice, and then you could use SQL queries to maintain who was in/out of the record set that was used by that report. Not as elegant, but not impossible either, especially if you’re looking for super-fine grained control.

And, in Polaris’ defense, it is set it and forget it once you have it set up.

Thanks @wesochuck! I’ll check with support and look into a custom report.
